SEEKING PROGRAM COORDINATOR

Program Coordinator 

BALLROOM BASIX (BBX) is an arts-in-education initiative dedicated to nurturing the social, emotional and physical well-being of schoolchildren, transforming the landscape of the classroom by instilling values of kindness, cooperation, camaraderie, tolerance & acceptance, self-esteem, courtesy and respect in our young students through the joy of “Ballroom, Latin & Line” dancing. 

We are seeking a Program Coordinator to join our team as we enter our busiest and most meaningful year ever. 

The PROGRAM COORDINATOR is a critical role in our mission to support our Teaching Artists – with an emphasis on fun, etiquette, caring, and inclusion. 

RESPONSIBILITY OVERVIEW: 

● Facilitate correspondence between our organization, partner schools, and teaching staff, which includes phone calls, e-mails, meetings, disseminating program materials, and arranging for final events/performances at the conclusion of each program. 

● Routinely update and manage schedules through the use of G-Suite and Calendar

● Perform various administrative tasks which may include, but are not limited to, preparing outlines, organizing meeting notes and creating and managing action items/task lists.

● Assist in event planning and “run of show” for community engagements. 

A successful candidate will be: 

● Highly organized with a strong ability to multitask: communication, projects and deadlines.

● Self-starting—in the absence of daily meetings, must be able to set short-term and long-term goals, and execute them accordingly. 

● Proficient with Google Suite (Sheets, Docs, Calendar, Drive), and the ability/willingness to learn other organizing software. 

And will have: 

● 1-2+ years of administrative experience preferably in the arts or education non-profit sector.

● An Associates/Bachelors degree (preferred, some college required). 

● A natural ability to pleasantly communicate in-person, over the phone and through email; representing the organization with positivity and enthusiasm. Customer service experience is a plus. 

● The ability to work cooperatively and compassionately with both the administrative and artistic team, especially our teaching staff. 

● An understanding of the hurdles faced by a small and developing nonprofit organization.

A flexible part-time schedule is available, but we ask that you be reachable by phone/text between 8 am and 4 pm school days to support the Teaching Artists during school hours. The Program Coordinator reports to the Executive/Artistic Director and the Operations Manager We adhere to all New York State, CDC and NYC requirements for safety. Administrative work is done remotely.

SEEKING BOOKKEEPER

BALLROOM BASIX USA seeks a part-time motivated and reliable Bookkeeper/Financial Coordinator to ensure the financial operation, accuracy, and transparency of the organization. The bookkeeper is responsible for providing nonprofit bookkeeping services, including the preparation and maintenance of financial records and reports. 

The role requires hand-on involvement in accounts payable, accounts receivable and supporting the administration of government contracts and foundation grants. The work would normally be done remotely. 

Responsibilities include: 

● Record funds received and expenses paid in respective project funds/classes and functional allocation within QuickBooks 

● Pay bills/invoices, and coordinate staff payroll through an online payroll system.

● Reconcile bank account on a monthly basis 

● Prepare monthly Statement of Activity and Statement of Financial Position, and special reports requested by the Board and staff 

● Work with Executive Director and Operations Manager to prepare annual budget and track budget-to-actuals 

● Work with Operations Manager to: 

○ support preparing for annual state and federal tax filings and the state annual report, annual 1099s for consultant(s) and W-2s for staff 

○ Provide support for fundraising campaigns 

○ Support tracking grant-supported income and expenditures and prepare financial reports related to contract and grants 

Qualifications: 

Experience with QuickBooks Online for Nonprofits 

Bachelors or Associates Degree, in Accounting, Finance, Business Administration or related field experience preferred with specific training in nonprofit accounting

Experience with HHS Accelerator and other public grants/contract management portals 

Proficiency in various software applications including, MS Excel, Google Docs, Google Sheets and Google Drive

A successful candidate will have: 

Excellent interpersonal skills and an ability to build rapport and collaborate with a diverse group of individuals 

Ability to conceive new approaches, streamline processes, and to recognize and solve problems without direct supervision 

Exceptional communication, time management, and people-solving skills

Absolute discretion concerning sensitive issues and confidential matters

SEEKING DYNAMIC TEACHING ARTISTS

BALLROOM BASIX™ (BBX) is hiring dynamic, dedicated  “Teaching Artists” to instruct & inspire schoolchildren through noncompetitive “Ballroom, Latin & Line” dancing*!

BALLROOM BASIX USA, Inc. (BBX) is a non-profit arts organization that teaches schoolchildren the “basix” of Ballroom & LMatin partner dancing non-competitively — with an emphasis on fun, good manners, caring, and acceptance. We are seeking dynamic individuals for part-time instruction of students in public, charter, and parochial schools. 

During the COVID-19 pandemic we wear masks and we are modifying our dances to comply with social distance requirements at school sites. We follow NY State, CDC and NYC requirements for safety. All Teaching Artists must be vaccinated.

Acting, dancing, teaching, and/or performing arts experience— plus a pleasant and vibrant personality — are essential. Memorizing and replicating our script and syllabus is part of the training process. 

Requirements include: a flexible daytime schedule between the hours of 8AM and 4PM, and the ability to travel by bus or subway. We expect Teaching Artists and Trainees to be punctual, high energy, charismatic and have the ability to work well with and inspire kids in 3rd – 9th grades. Applicants must have engaging and entertaining personalities and possess a genuine desire to make a difference in the lives of young people by connecting with each of them in a respectful, equitable way with their classmates/peers. 

Those selected will receive paid training to learn our methodology. As part of your training, you will assist a seasoned Teaching Artist (TA) for one teaching cycle (3-6 months). Upon completion of the paid training period, a Teaching Artist will be asked to have a contractual commitment of at least two school days per week for a period of one school year, and will be offered compensation commensurate with your experience.
